Privacy Policy

This privacy policy describes how Georgetown HVAC collects, uses, and protects information you provide through our website and our services. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Ontario's privacy laws.

What we collect

When you contact us through our website, by phone, or in person, we collect:

• Contact details: name, email address, phone number, service address
• Service request information: what you'd like us to help with, urgency, equipment details you choose to share
• Communication history: notes from phone calls, emails, or messages
• Service records: work performed at your address, equipment installed or serviced, warranty information

When you visit our website, our hosting provider (Vercel) may automatically log basic technical information — IP address, browser type, page URLs visited, timestamps. This is standard server logging used to ensure the site runs properly. We do not currently use third-party analytics, cookies for tracking, or advertising pixels.

How we use it

We use your information for one purpose: providing the heating and cooling services you've contacted us about. Specifically:

• Returning your call or email to discuss your service request
• Scheduling and dispatching technicians to your address
• Generating quotes, invoices, and service records
• Filing rebate paperwork on your behalf (with your consent)
• Manufacturer warranty registration on equipment we install
• Following up to confirm work was completed satisfactorily
• Sending occasional service reminders (annual maintenance, filter changes) — you can opt out at any time

We don't sell your information. We don't share it with marketing companies. We don't trade contact lists with other contractors.

Who we share it with

The only third parties who see your information are those necessary to deliver the work:

• Equipment manufacturers — for warranty registration on installed equipment
• Government agencies — TSSA for inspection paperwork, Halton Hills for permits, the federal/provincial governments for rebate applications you've authorized
• Subcontractors — occasionally, for specialized work we don't perform in-house (e.g., electrical panel upgrades, ductwork modifications). We share only what's needed for them to do the work.
• Service providers we rely on — Vercel hosts our website, Web3Forms processes form submissions and sends them to our email. These providers have their own privacy practices governing data flowing through their platforms.

How long we keep it

We retain service records (what we did at your home, when, on what equipment) for at least seven years for warranty, regulatory, and tax purposes. Contact-only inquiries that don't result in service are retained for two years and then deleted. Marketing communications opt-out is honoured immediately and permanently.

Your rights

Under Canadian privacy law, you can:

• Ask us what information we have about you
• Ask us to correct it if it's wrong
• Ask us to delete it (with limited exceptions for warranty and tax records we're required to retain)
• Opt out of any marketing communications at any time
• File a complaint with the Office of the Privacy Commissioner of Canada if you believe we've mishandled your information

Security

We protect your information with reasonable safeguards: encrypted website connections (HTTPS), strong passwords on internal systems, limited access to customer data within our team, and standard endpoint security on devices that hold customer information. No system is perfectly secure — but we treat your information the same way we'd want our own treated.

Changes to this policy

We may update this policy occasionally. The "Last updated" date at the top tells you when. Material changes will be communicated through our website. Continued use of our services constitutes acceptance of the current policy.
